In order to operate as a self-help charity, the abc affected by cancer requires basic General Personal Data regarding its members. The following is an outline of the Personal Data held and why, who may access this data, and how the data is protected.

Personal Data Held

   • Member's Name
   • Address
   • Contact Details
   • Emergency contact’s name and phone number
   • Gift Aid particulars (if applicable)
   • Birthday (if permitted).
   • Photos of group outings or events which may contain member’s image.

Who holds the Information?

Personal Data information is held by the chair, the abc Information Technician, abc secretaries and relevant committee members. Personal Data is held electronically and is Password Protected.

The Chair and relevant committee members require this information to enable effective communication with members regarding upcoming events, meetings and outings.

Occasionally it is also necessary for a committee member to contact another member privately if support is required by that member.

Emergency contact names and phone numbers are essential in the event a medical problem occurs during a club meeting, event or outing. This information is held securely only by the Event Organiser committee member.

Processing of Data

The abc Information Technician is responsible for the electronic input of member data obtained from the Membership Secretary, and, along with the secretary, ensuring the data is accurate, necessary and up to date.

A back up of the data is initiated every two months.

Deletion of Data

A member’s data is deleted once the member leaves the group by both the Membership Secretary and Information Technician. 

When may a member see their Personal Data held?

Access by a member to their data held should be available within 48 hours by contacting the Membership Secretary.

With whom is the Data shared?

Relevant committee members hold names and contact details for reasons already outlined above. This information is held securely and is not shared with a third party.

If however, a member participates in the annual abc five day break away, it is necessary for the Event Organiser committee member to inform the hotel of names of attendees. This enables the correct and suitable allocation of rooms. 

No information is disclosed to any other third party. 

How are members informed about their Personal Data held?

All members have received an abc circular distributed by the Membership Secretary. All new members receive the circular upon joining the abc group.

Responsibility for reporting breaches to the I.C.O and Charity Commission

The Chair and Trustees are responsible for reporting a breach.
